The Incident Notes feature is not for the collection and storage of personally identifiable information (PII) or personal health information (PHI). It is against our policy for any PII/PHI to be submitted here. PII/PHI includes, but is not limited to, full name, government identification numbers, driver’s license number, bank account number, passport number, date and/or place of birth, bio-metric records et al. This feature is only intended for information that would not be considered PII/PHI.
About Incident Notes
Beacon allows Responders to submit notes for incidents that they were assigned to by SMS. These notes are collected and displayed in the Incident Report. This page details how Web Dispatchers can retrieve and update the Incident Reports in order to view the Incident Notes submitted
How to Retrieve and View Incident Notes
Incident Notes are stored in the Incident Report.
To retrieve and view the Incident Notes on the Incident Report:
- Go to the Profile menu on the top right corner of the dispatcher interface
- Click the Incidents tab
- Find the Incident you are looking for and click the Download Incident Report link to access the Incident Details page and download a report as described in the Incident Reports section
- Incident notes can be found at the bottom of the downloaded incident report (not shown on image)
If Incident Notes were submitted by the Responder after the incident has already closed, you will need to repeat the steps from the Incident Report in order to get the updated information on the report
Additional Comments
A couple of other things to keep in mind regarding Incident Notes:
- Incident Reports are accessible via the Incidents page only for incidents within the past 30 days. Please refer to the Incident Reports section to learn more about how to retrieve and view Incident Reports that are more than 30 days in the past.
- Only Responders who have been assigned to an incident can submit notes

- Responders can submit notes as many times as they wish, but they can’t be erased
- Notes can be submitted at any point after the Responder has been assigned to an incident – i.e., while the incident is still active or after it’s been completed
- Dispatchers can’t submit notes; they are able to submit Dispatcher Comments directly on the on the active incident card or through the Comments section on the Incident Details page
